Bank of Georgia is looking for an Executive Assistant for its Administration Office.

This role will serve as a trusted aid on all core projects, priorities and operations: information, correspondence and agenda management, coordination with internal and external audiences.


The role completes Administrative tasks, including:

  • Manages an extremely active calendar of appointments, schedules meetings and conference calls, reserves conference rooms as necessary; provides "gatekeeper" and "gateway" role;

  • Arranges complex and detailed travel plans, itineraries, agendas, visa documentation; compiles documents for travel-related meetings and business trips; completes and ensures timely submission of expense statements and reports;

  • Participates in events planning, provides administrative support, logistics and onsite assistance as needed;

  • Receives and follows up phone calls; greets and sees off visitors; plans business lunches and dinners; completes registration on international conferences and fairs;

  • Composes and prepares correspondence including confidential ones; drafts relevant documents, presentations etc. including printing and binding for meetings;

  • Manages general office needs such as ordering supplies, mail distribution, facilities management, transportation and office maintenance.

 

The successful candidate:

Will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having to know the total picture, and efficiently and proactively solve difficult/complex problems; will have a high level of integrity, discretion and professionalism in handling confidential information, and dealing with senior staff. A good sense of humor is critical, as the ability to be flexible, and to change direction at a moment’s notice.


Key skills for this role include:

  • 3-5 years of executive secretarial experience;

  • Scheduling, Supply Management, Time Management, Equipment Maintenance, Travel Logistics, Event Coordination, Reporting Skills;

  • Fluent in English; Good command of Russian language is highly desired;

  • Proven PC skills, highly proficient in all Microsoft Office applications (Word, Excel, PowerPoint, Outlook);

  • Strong written communication skills and ability to distill and convey information in a compelling manner;

  • Detail-oriented organizational and process management skills to manage a wide range of incoming requests and responsibilities;

  • Flexible work style and comfort with ambiguity; 

  • Demonstrated problem-solving skills;

  • Emotional intelligence and ability to establish strong and trusting relationships.
